Access

Access for Members of the Personnel (MP) and Honorary Members (same for levels 4, 3)

Members of personnel and honorary members wishing to access the site may only do so for professional reasons, and in consultation with their supervisors, as specific measures apply (e.g. space occupancy rules)

Access for Retirees (same for levels 4, 3)

Retirees can access on-site facilities, such as bank safe deposit boxes, the CHIS office or the pension fund, in the framework of the corresponding procedures, and only if strictly necessary

Access for relatives (same for levels 4, 3)

Not authorised

Access for Club members (same for levels 4, 3)

Teleworking

Principle: Those whose activity can be carried out remotely shall telework.
Notwithstanding the above:
- MPEs, MPAts and PJAS whose activities cannot be carried out remotely or whose presence on site is deemed necessary by the supervisor shall work on-site as agreed with their supervisor.

- Users may work on site if so instructed by the experiment spokespersons or technical coordinators and subject to agreement by their home institutes.

All MPs, including users, may work on-site two days per week without further justification. The modalities of on-site work shall however be discussed with the supervisor to take account of work organisation constraints and office occupancy rules, in particular.

Teleworking - from where

Telework for those who can telework is by default undertaken in the local area so that a swift return to CERN is possible. Exceptions to working in the local area: see COVID-19 Absence management (Annex 1),"Exceptions to telework in the local area"


General

Duty Travel (same for levels 4, 3)

Travel on behalf of CERN (including travel to perform professional activities at other institutions, as well as travel for participation in training courses) is only permitted if it is deemed essential for strategic or operational reasons by the Department Heads or the experiments’ Spokespersons concerned

Badge reading (same for levels 4, 3)

Mandatory (entrance)

Proximeter (same for levels 4, 3)

Mandatory wearing.

Isolation and quarantines (same for all levels)

Built from WHO recommendations and measures in the Host States.

Exemption of quarantine on return from high-risk areas (same for levels 4, 3)

Requires DG / Enlarged Directorate validation.

Access for MPEs or MPAs who have vulnerabilities to COVID-19 (same for levels 4, 3, 2)

No access restrictions. Specific protection plans must be defined, when individuals self-declare (a) vulnerability(ies) with respect to COVID-19. CERN may request a medical certificate attesting of the status of person with vulnerabilities.

Note: the vulnerability criteria in use by the Organization are according to the Swiss ordinance.

Access for MPAs other than MPAts who have vulnerabilities to COVID-19 (same for levels 4, 3, 2)

1. MPAs not in the category of MPAt and presenting vulnerabilities to COVID-19 or living under the same roof as a person presenting vulnerabilities should obtain the necessary instructions regarding their organisation of work or absence from their home institute. 
2. CERN informs the home institutes of the list of vulnerabilities in effect in the Organization.
3. The home institute informs CERN of the MPA's vulnerable person status and of its decision whether or not the person works on site.  
4. If the MPA must come to work on site then the competent CERN representative develops a protection plan with and for the MP.  This concept is verified by the HSE Unit.   
5. If the MPA refuses to come to work on site despite the protective measures in place, the home institute will decide the consequences for the person.

Wearing masks

Indoor (same for levels 4, 3)

Mandatory to wear surgical type 1 masks, provided by CERN.

Outdoor (same for levels 4, 3)

Mandatory if 2m distance cannot be ensured. Masks should be surgical type 1, provided by CERN.

In a shared vehicle (same for levels 4, 3)

Mandatory to wear surgical type 1 masks, provided by CERN.


Hygiene measures

Gel (dispenser) (same for levels 4, 3)

Available at anyone’s disposal (building entrances / all floors / catering points).

Gel bottles for individual use  (same for levels 4, 3)

Available at anyone’s disposal (CERN stores).

Shared Equipment  (tools, printer, water dispenser, keyboard, keys …) (same for levels 4, 3)

Contact areas must be cleaned by each user before and after use.


Space occupancy

Office sharing (same for levels 4, 3)

Office sharing shall be avoided where possible. Where office sharing cannot be avoided the relevant provisions of the COVID-19 related instructions on office workplaces apply (EDMS 2398834).

Physical meeting / gathering / event / conferences

Physical meetings are possible in accordance with cantonal directive (up to 50): only with dedicated protection plan.  Gatherings, events, conferences are not allowed.
