Access

Access for Members of Personnel (MP) and Honorary Members

Members of personnel and Honorary members wishing to access the site may do so, in consultation with their supervisors as specific measures (e.g. space occupancy rules, cf Appendix B) may apply

Access for Retirees

Retirees can access on-site facilities, such as bank safe deposit boxes, the CHIS office or the pension fund.

Access for professional visitors

Professional visits are authorised.

Contractors

Access authorized as agreed with CERN technical contact.

Access for relatives

Relatives of members of personnel can access on-site facilities, such as bank safe deposit boxes, the CHIS office and the Kindergarten.

Access for Club members

Clubs' members can access on-site facilities for club activities only. They shall respect sanitary measures in place and rules dedicated to activities of clubs (see Domain 'Clubs' below)

Proximeter

Wearing proximeter is mandatory. If you are an MPE, MPA or a contractor and do not yet have a Proximeter, you should arrange to collect one using this link: http://www.cern.ch/proximeter-dist. The use of Proximeters is very useful in contact tracing, and therefore limiting spread of the virus.


Teleworking

Last updated 1 September 2021.

Employed members of personnel (MPE), associated members of the personnel for the purposes of training (MPAt) and project associates (PJAS) who can telework may do so up to two days per week, per the provisions of OC7 Rev. 2.

If circumstances such as limited office space or vulnerability or any others do not allow these conditions to be applied, they should be discussed with the supervisor.

Associated members of personnel (MPA) other than MPAt and PJAS should agree upon their working arrangements with their home institutions, while ensuring compatibility with conditions at CERN.


Hygiene measures - Masks

Indoor

Unless otherwise specified, surgical masks shall be worn indoors when entering and moving within buildings or public spaces (e.g. offices; meeting rooms; corridors; restaurants). Where several persons are present in a workspace, such as offices, laboratories and meeting rooms masks shall be worn at all times, even when seated. Masks may be taken off when a person is alone.

Outdoor

Surgical masks shall be worn where there is a risk that the physical distance cannot be ensured at all times.

Gel (dispenser)

Available at anyone’s disposal (building entrances / all floors / catering points)

Gel (individual distribution)

Available at anyone’s disposal (CERN stores)

Equipment shared (tools / printer /water dispenser / keyboard / keys …)

Recommendation to clean contact point before used.


Work organisation (vulnerabilities)

Access for MPE or MPAt with vulnerabilities to COVID-19

Persons with vulnerabilities (cf. article 9 of the Instructions) with respect to COVID-19 shall self-declare themselves to their supervisors.  Specific protection plans verified by the HSE Unit shall be defined, taking into account indications given in a medical certificate, if supplied. cf. document HR for more details.

Access MPAs other than MPAts living under the same roof as a person with vulnerabilities to COVID-19

Persons living under the same roof as a person with vulnerabilities to COVID-19 shall self-declare themselves to their supervisors.  Specific protection plans, verified by the HSE Unit, shall be defined if necessary. cf. document HR for more details.

The home institution informs CERN of the MPAs  status as vulnerable to COVID-19 or living under the same roof as a person presenting vulnerabilities to COVID-19.

If the MPA must work on site, then the competent CERN representative develops a protection plan with and for the MPA. This concept is verified by the HSE Unit. cf. document HR for more details.


Space occupancy

Office sharing

Where office sharing cannot be avoided the relevant provisions of EDMS 2398834 apply. (for mask use, please refer to "Hygiene measures" above")

Gathering Indoors (physical meeting  / event / conferences)

Meetings, events and conferences are authorized up to 200 people provided the physical distance requirements are respected and subject to any mandatory COVID related provisions in force in the Canton of Geneva.

Where more than 30 people are expected to attend, a protection plan (pdf // word) must be provided by the organiser and verified by the HSE Unit beforehand.

Where the consumption of food and/or drink is foreseen, the necessary pre-arrangements should be made. A person or team shall be designated to provide the food and drinks service. Utensils (cutleries, glasses, napkins etc) must be packaged separately in kits or already arranged on the tables.  During consumption of food and/or drink, people must remain seated in places maintaining the physical distance requirement.

Gathering Outdoors

Meetings are authorized up to 200 people provided the physical distance requirements are respected and subject to any mandatory COVID related provisions in force in the Canton of Geneva.

Where more than 50 people are expected to attend, a protection plan (pdf // word)must be provided by the organiser and verified by HSE Unit beforehand.

General

Duty Travel

Travel on behalf of CERN (including travel to perform professional activities at other institutions, as well as travel for participation in training courses) is permitted subject to compliance with the relevant provisions of the instructions, the authorisation procedure below and the regulations in force at the intended destination.

The authorization procedure for duty travel depends on the risk level assigned by France to the intended destination (https://www.diplomatie.gouv.fr/fr/conseils-aux-voyageurs/informations-pratiques/article/coronavirus-covid-19):

  • For destination countries designated by France as having a risk level of GREEN, the standard approval process applies.
  • For destination countries designated by France as having a risk level of ORANGE or RED, travel is only permitted if it is deemed essential for strategic or operational reasons by the Department Head or the Experiment Spokespersons or Technical Coordinators.
